How to take inventory of an item in the Palats mobile app


In this section, we will go through how to take inventory of an item in Palats. Before you can start, you first need to have created your location.

Step 1 - Location, Images, and QR

As we discussed in the previous sections, you can either take inventory directly on a floor plan or choose to do it within folder divisions.

How to take inventory of an item in Palats in the mobile app:

  1. Log in to the mobile app and select "Location"
  2. Choose the section of the building where you want to take inventory by clicking on the division you are in. If you're not already on the overview, you can access the different divisions by clicking on the search field at the top (where you see three lines).
  3. Once you've selected the division, click on the purple plus sign in the lower right corner.
  4. If you're taking inventory on a floor plan, place the item by clicking on the floor plan.
  5. Click on "Add photos" and take one or multiple pictures of your item.
  6. If you're using QR codes, click on "Add QR code" and scan the QR code with your camera. Otherwise, skip this step.
  7. Click on "Select category"
  8. Palats Genie will suggest a suitable category based on the image you've taken, but you can also search in the search field at the top or navigate through the category tree to choose a category.
  9. Click on "Create new" and continue with step 2 below.

 

If you choose a category where you have taken inventory of items before, you will receive these suggestions and can then select an existing model to retrieve it.


Step 2 - Create a New Model

Based on the product category you've chosen, you'll see specifications tailored to the type of item you're taking inventory of. It's okay to leave blank fields if you don't have the requested information. You can always add information later using both the mobile app and the web application.


Model-Specific Fields - Common for the Model:

  1. Fill in the requested specifications such as manufacturer, model, dimensions, color, material, etc. (you can leave fields blank). The display name will automatically be the same as your chosen product category, but here you can choose to enter a different name to distinguish your different models of a certain type.
  2. Under "model images," you can select the images you want to be common for the model. Images that you don't choose will be item-specific and should clarify deviations in condition, for example.

Item-specific fields - Can vary for individual models in the case of creating copies

  1. Under the fields for weight and purchase price, preset values are provided to help you see economic and CO2e savings. You can update these if desired.
  2. Specify the year of manufacture using the slider or by entering the exact year.
  3. Indicate if the item has any remarks or is approved for functional and visual condition.
  4. Logistics provides information for an upcoming move, such as disassembly instructions or similar.
  5. The fields "destination," "next step," and "other tags" allow you to tag your items directly while taking inventory, but this can also be done later in the web application. You can then filter items based on your tags in the web app. 
  6. Choose the number of items you want to create for the model and click "complete and save." If you have more than one item, continue with step 3 below.

Step 3 - Create copies and review items:

  • Now it's time to choose what you want to copy for your duplicates by checking the following:
  • ☑️ Location - If you're taking inventory using a floor plan, leave the box blank to place your copies in other locations on the floor plan. If you check the box, all items will be placed in the same location as the original item.
  • ☑️ Condition - Choose whether the copies should inherit the original's condition (functional, visual, and logistics).
  • ☑️ All images - All model images will automatically follow, but if you've taken additional images that you didn't mark as model images (see step 2 above under model-specific fields), you can choose whether to copy the other images.
  • ☑️ Next step - Choose whether the copies should inherit any tags from the "next step."
  • ☑️ Other tags - Choose whether the copies should inherit any other tags.
  1. Make your selections above and click "review items"
  2. Click "Edit copies" to change the information about the items' location and condition or to add a QR code to each item.
  3. Once in editing mode, you'll see "Location," "QR," "Condition," and "Photos." Click on the parameter you want to change.
  4. If, for example, you want to add a QR code, click on "QR" and scan a QR code and attach it to a clean and dry surface on your item. Then click "Next item" and continue until you've scanned all the QR codes.
  5. If you notice that one of the copies has a deviation, skip to the "condition" section and enter the remark.
  6. To add an additional image of the deviation, skip to "photos" and take one or more pictures of the deviation.
  7. When you're done, click "Finish editing" in the upper right corner.
  8. Click "Approve" in the upper right corner.
  9. You're done - your copies are now created!

When you update the page with added items, you'll see that the number (st) has been updated for the article you copied.
